We are proud to announce a new maintenance release for VisualTime:

Among some bug fixes, this update (1.57.71) includes:

- Google Calendars can now be displayed in the web viewer. Log in with your Google / Gmail account and see everything at a glance.

- Improved activity approval method. Multiple Tentative Activities can now be now displayed and approved with a single click.

- Improve Email template creation and editing. The new and redesigned Email Template editing is simpler and more user firendly.

- Ability to manage the email queue via the Management Console.

- Create rooms and resources faster via the Clone function.

- Easier navigation in the main calendar with the ability to select the month and year.

Note:
The update is available for customers with a current maintenance contract.

NB: Your user id needs to have the necessary authorizations in order to log in via the Management Console.

Note that in order to display the Log Off and Log in to Management Console options, you need to click first on the top left icon (the blue bubble) on the VisualTime window. This will display the VisualTime drop down menu.

VisualTime connects to the wrong server URL

If you have connected to a VisualTime test or demo server, then you want to connect to a production server, VisualTime may still connect to the test server instead of the production one.

This happens because the VisualTime Windowss app automatically stores the address of the last server where it was connected to.

How to connect to a different server:

1. Before launching VisualTime, delete the visualtimesettings.vtxml file found in your Windows temp folder.
2. To to that, open your Windows Start menu and choose Run.
3. Type cmd to start a DOS command window.
4. In the DOS window type

del %temp%\visualtimesettings.vtxml

5. Run VisualTime again and enter the correct URL when prompted.

More information:

The visualtimesettings.vtxml file will be recreated automatically every time the program is run so you don't have to type in the URL everytime.
If you're switching from one server to another you will need to delete it manually before running VisualTime.
The visualtimesettings.vtxml file has no effect on the web interface (VisualTime WebAccess).

Also, if you use Internet Explorer and cookies are enabled, just browsing the VisualTime launch page will update the cookie which in turn will reset the connection information. The information stored in the cookie takes precedence over the visualtimesettings.vtxml file.

Also note that you can create an activity in several ways:
- Via the Activity button on the toolbar.
- By selecting the available areas of the regions of a resource in one of the views in the calendar.
- By selecting a resource in the resource search results list.
- By copying an existing activity or series of activities

The easiest way to create a multi-resource or room scheduling activity is to create first a Favorite Calendar with the particular selection of resources you want. This is particularly useful when you need to schedule specific sets of resources frequently as you can create several Favorites to match your specific criteria then quickly select each one of these Favorites and inspect the availability of the resource set.
Then, press the Activity button on the toolbar and select Create an Activity with the current roster selection. This will bring up the Activity applet with all the resources already selected so at a minimum you will need to provide a name for the Activity and then save it.

Multiple resource and room scheduling

To schedule an activity withe more than one room or resource, first select a primary resource to be the activity's main resource (the one displayed at the top in the Activity applet), then from the Resource browser on the left select and add each one of the additional resources you need.

All the scheduled rooms, resources, contacts and services will be displayed in the Schedule area of the Activity applet.

Multiple resource and room scheduling in a single activity

Question:
What is meaning of Primary Resource, Main Resource and Additional Resources when scheduling an activity?

Answer:
The concept behind the Primary resource is that only Primary resources can be scheduled as a Main resource in a multi-resource Activity. In fact only Primary resources can act as physical place holders in an Activity.
Resources that are not defined as Primary can only participate as Additional Resources in an Activity.

An example would be a projector or equipment which is not set as Primary resource but where a conference room is. Scheduling an Activity with a conference room and the projector will enforce the conference room as the actual place where everything is being added to - equipment, participants, etc, and not the other way around. In the above example, if the projector would be defined as Primary, a user could mistakenly schedule an activity taking place in the projector, with no room but with 50 people invited to it.

The services are not listed when scheduling an activity

Question:
How to get the list of services to become visible when scheduling an activity?

Answer:
For a service to be visible / available for request, the condition is to have the Main resource of the activity being scheduled - the resource displayed at the top in the Activity applet to support that service.

This is controlled via Administration -> Resources - Select the desired resource -> Resource - Details -> Capabilities.

In this area you can define what service is available for what resource.

The most permissive setup is to check On the Allow Any Service option which will allow any service to be requested in any scheduled room but you may want to define a more granular setup and so you can check only the services that you see in that list.

Error when running reports

When launching a report, the following error message is displayed:

Parser Error Message: Could not load file or assembly 'CrystalDecisions.Web, Version=12.0.2000.0, Culture=neutral, PublicKeyToken=692fbea5521e1304' or one of its dependencies. The system cannot find the file specified.

This is due to the fact that the Crystal Reports 2008 runtime is not installed on the IIS server.

To resolve this error, install the Crystal Reports 2008 runtime available from SAP's web site.

Manually configuring the handler mappings in IIS7

The Windows client connects to a page that has a .vtserv extension.

If the .vtserv extension is not properly registered to handle requests in IIS, an HTTP 40x error will occur when the Windows client connects to the server.

In order to manually add the mapping for .vtserv, go in the IIS mangement console and select the /visualtime application.
Under the IIS section, select the Handler Mappings section.

Choose Add Managed Handler.

In the Edit Script Map dialog, enter the following values:
Request path= *.vtserv
Executable=%windir%\Microsoft.NET\Framework\v2.0.50727\aspnet_isapi.dll

Click Ok.

Verify that your connection and handler are now working properly by opening up Internet Explorer and browsing to the:
http://servername/visualtime/service.vtserv

The page should display the following string:
Visualtime HTTP Service

How to log off ?

To access the Log off option you need to access the drop down menu via the clock icon at the top left corner of the Visualtime program window.
